Church event calendar template

A church calendar covers a lot: services, choir practice, youth group, potlucks, festivals that need volunteers. This template keeps all of it in one spreadsheet, probably the same one the office already maintains, and turns it into a feed the congregation subscribes to once from a link in the bulletin or on the website.

The sheet stays the source of truth. When the potluck moves to the Fellowship Hall or choir practice is cancelled, whoever runs the sheet edits one row and it changes on every subscribed phone. Nobody has to catch the Sunday-morning announcement.

  • Weekly services get one row per Sunday, since there's no recurrence support. Enter a season at a time. The upside is that any single Sunday can carry its own note, like “Communion Sunday”.
  • Use Notes for the details people call the office about: who it's for, what to bring, when volunteers arrive.
  • Leave Time blank for festivals and other all-day events so they show in the all-day band instead of at a made-up midnight time.
  • Print the subscribe link, or a QR code pointing at it, in the bulletin once. The same link works all year.

Questions

Our congregation ranges from teenagers to great-grandparents. Will one link work for everyone?
Yes. The subscribe page has one-tap buttons for Apple Calendar, Google Calendar, and Outlook, plus a raw feed URL for anything else. Nobody creates an account, which matters when half your subscribers won't sign up for anything.
Fifty events on the free plan — is that enough for a church?
It covers roughly a season of services plus your event calendar. If you want to publish a full year, or want faster updates, the Pro plan ($12/mo or $99/yr) has 10 feeds, unlimited events, and 15-minute sync.
Can youth group have its own feed so families aren't seeing choir practice?
Yes. Each feed comes from its own sheet or tab, so on Pro (10 feeds) you can publish a main calendar plus separate ministry feeds, each with its own subscribe link.
What if someone breaks the spreadsheet, or sharing gets turned off?
The feed freezes at its last good state and you get notified. Subscribers keep the calendar they had instead of seeing it go blank or fill with bad data. Rows that can't be parsed are held for review with their raw values rather than guessed at.
